Cancellation Policy – Veterinary Practices

vee.vet is committed to maintaining a reliable and professional marketplace. Confirmed shifts represent a commitment to both patient care and the veterinary professionals who reserve their time to support your Practice. This policy outlines cancellation terms and responsibilities to ensure fairness and consistency for all parties.

1. Shifts Canceled by a Vet or Technician

If a Relief Vet or Technician cancels a confirmed shift, vee.vet will make reasonable efforts to provide an acceptable replacement for your Practice.

A full refund will be issued to the Practice if:

  • The Practice does not approve the replacement professional provided by vee.vet, or

  • The Practice determines that the shift is no longer required.

vee.vet will communicate promptly regarding replacement options and next steps.

2. Shifts Canceled by Practices

We understand that operational needs can change. However, confirmed shifts reserve a professional’s time and directly impact their income and availability. The following terms apply when a Practice cancels a shift.

A. Unconfirmed Shifts

Unconfirmed shifts are shifts that have been accepted by a Vet or Technician and are awaiting Practice approval.

Unconfirmed shifts may be canceled without financial penalty.

To ensure a positive experience for professionals, Practices are strongly encouraged to approve or decline shift requests within 24 hours.

B. Confirmed Weekday Shifts

If a Practice cancels a confirmed weekday shift, the following refund schedule applies:

Cancellation Timing (Before Shift Start Date)

  • 35 or more working days: 100% refund

  • 25–34 working days: 75% refund

  • 15–24 working days: 50% refund

  • 10–14 working days: 25% refund

  • Fewer than 10 working days: No refund

“Working days” refer to Monday through Friday, excluding statutory holidays.

C. Confirmed Weekend and Statutory Holiday Shifts

Confirmed shifts scheduled for weekends or statutory holidays are non-refundable once confirmed.

3. Infectious Disease and Exposure Protocol

If there is a confirmed case of a contagious illness within your Practice:

  1. Notify any vee.vet professionals who may have been exposed during the same shift.

  2. Inform vee.vet promptly at support@vee.vet.

  3. Provide the date and location of potential exposure.

Do not disclose the identity of the affected individual.

If the Practice remains open, upcoming vee.vet professionals must be informed of potential exposure risk.

If the Practice must temporarily close, affected shifts must be canceled promptly and vee.vet must be notified immediately.

4. Platform Review and Enforcement

Repeated short-notice cancellations or excessive confirmed shift cancellations may result in internal review and potential restrictions on posting future shifts.

vee.vet reserves the right to review all cancellations to ensure fairness, consistency, and platform integrity.
